Hosted Buyer Programme

Business Travel Market is the only European Corporate Travel event held in the UK, based around a full, hosted buyer programme.

Over the 22nd and 23rd June 2011 up to 500 specially invited European and international corporate travel buyers will each receive benefits designed to encourage them to attend Business Travel Market and to generate the maximum ROI for their time investment.

Principal VIP Hosted Buyers’ benefits*

• Return air or rail travel to London
• Up to two nights’ accommodation, including breakfast
• Discounted rates available for additional nights’ stays
• Free travel on the Underground, DLR and Thames Clippers during your stay
• Discounted rates and dedicated booking service for chauffeur drive transport
• Complimentary entry to all conference sessions
• On-line diary to arrange appointments with sponsors & exhibitors
• Entry to the opening night reception and official BTM Party
• Access to the VIP Hosted Buyers Lounge, sponsored by Qatar Airways

* Not included: Meals; taxis; upgrades for hotel and travel; travel insurance; expenses if travelling by car and all personal room charges e.g. mini bar, telephone, internet, newspapers, etc.

Hosted Buyer commitment

By accepting the VIP Hosted Buyer package, buyers commit to attend a minimum of six pre-scheduled appointments during their visit using the on-line diary. These appointments can take place on one or over both days of the event.

VIP Hosted Buyer - Qualifications

• Corporate buyers (minimum €300,000 annual business travel and/or meetings spend)
• Global travel manager; European travel manager; UK travel manager Procurement/Purchasing; Finance; HR

Hosted Buyers must make budgetary decisions for business travel services, defined as air (scheduled or charter); hotel accommodation; serviced apartments; rail; meetings and events; TMC fees; corporate payment cards; car rental; ground transportation/taxi/chauffeur drive or traveller security.

Appointments diary

When registering, a profile of each hosted buyer is created including demographic information about managed spend by sector, region and so on. These profiles are fully compliant with EU data protection legislation and are visible only to sponsors, exhibitors and the Hosted Buyer. No direct contact details are visible. The profiles allow Hosted Buyers to request meetings with exhibitors, and vice versa. Meetings are only confirmed if both parties agree to meet. Confirming a meeting automatically closes out that time slot in the Hosted Buyer’s appointments diary.

Spouse and partner activities

VIP Hosted Buyers’ spouses and partners are not eligible for any of the benefits available to VIP Hosted Buyers. However, Hosted Buyers may bring partners at their own cost.

Cancellation policy

Any Hosted Buyer cancelling his/her place less than 14 days from departure for Business Travel Market, may be liable for his/her accommodation and travel costs and may not be entitled to VIP Hosted Buyer status in future events.

Hosted Buyers failing to attend a pre-arranged meeting may be liable to a cancellation fee, the fee to be levied at the discretion of the organisers. Hosted Buyers not arriving for pre-booked hotels may be liable for the cost of the room.
